In BasicOps you can search across all your data. You can find:
- Tasks
- Projects
- Notes
- Forms
- Files, including file content
- Comments and replies in tasks and projects
- Comments and replies in chats, group chats, and channels
When you combine the free text search with filters, you can quickly locate the information you’re looking for.
This article will show you how to:

Search for Anything
To search for anything, click the Search button in the left sidebar.
You can now enter your search keywords at the top, and the search results will show up in the panel below.
Under the search keyword field you have filtering and sorting options. On the left side you’ll see six tabs you can use to sort the results in different categories. The first tab includes all search matches, click one of the others to filter only on:
- Tasks
- Projects
- Chats and channels
- Notes
- Files
On the right side you have a filter button (see Adding Filters) and a sort button (see Sorting the Search Result).
In the bottom section you have the list of matches on the left side and on the right side you’ll see the details for the search item currently selected on the left side. In both sections the matching keywords are highlighted. Click an item on the left side to show the details in the right panel.
Each search match is represented by an item where the first line indicates the matching item on the left side and the date of the last update of the item on the right side. When an item is selected or you hover over an item, the last updated date is replaced with a link that can take you to the item’s normal context, see Navigate to the Found Item in its Normal Context.
Next, you may see one or more lines showing where the search keyword matches were found. In the first example below, the word media was found in the task description.
Note that you can use the Arrow Up and Arrow Down keys to navigate through the search results.
The right side panel shows the details for the item you have selected on the left side. This generally shows the view you would normally see representing the item, e.g. task detail view, note, or chat. These views are interactive, so you can change a task state, update a note or post a message.
Narrow Search Results to Specific Categories
If you know that what you’re searching for is in a specific category, you can easily narrow down the search results to that category. In this example we have selected the Notes category.
Navigate to the Items Where Found Files are Used.
When the search result is a file we’ll show a preview of the file in the right pane whenever possible.
If you want to see where the file is used, click the See file on location link under the preview.
This will replace the preview with the item containing the file, in this case a task.
Navigate to the found item in its normal context
You may also want to see a item in its normal context. To do so, click the Go to link on the right side of the search item.
Note that this will close the search view and only show the context for the selected search item. In this case the selected search item is a file in a task. This will show the project containing the task with the task selected and the file showing.
Adding Filters
To narrow the search results down further, you may add one or more filters. To do so, click the Filter button on the right side of the search view.
You can filter on:
- The user who created the item
- The date the item was created
- The date the item was last updated
In this example we are filtering on Alex and Amanda, updated within this week and last week.
Once you have selected one or more filters, you have the option to save the filter selection as a quick filter by clicking the Save as Quick Filter link.
Sorting the Search Result
The search results are by default sorted by relevance, which is calculated based on multiple conditions, such as how far apart search keywords are in a matching item, and how long ago the item was updated. You also have the option to simply sort the results based on the last day the item was updated. To do so, select the Sort button on the right side of the search view.
