BasicOps Notes is the fastest way to capture and share information without needing to create a project or task. Use notes to run meetings, write briefs, track action items, document processes, or brainstorm with your team.
Notes are available at three levels: personal (just for you), project (shared with your project team), and task (attached to a specific task).

Types of notes
Personal notes are private by default and live in the dedicated Personal Notes view, accessible from the left sidebar. Use them for your own to-dos, drafts, or anything you're not ready to share.
Project notes are shared with everyone on the project. They're great for meeting summaries, project briefs, and team documentation.
Task notes bring note functionality directly inside a task. Any team member with access to the task can view and contribute to the task's notes, making it easier to keep documentation close to the work.
Creating a note
To create a note in a project, open the project and click the Notes tab, then click New note.
To create a personal note, click Notes in the left sidebar and click New note.
To add a note to a task, open the task and click the Notes tab within it.
Text styles and formatting
Use the toolbar at the top of the note to format your content.
- Text styles - Choose between paragraph and header styles to add structure to your note.
- Bold, italic, underline - Apply inline formatting to any selected text.
- Lists - Create bulleted or numbered lists.
- Links - Highlight text and add a URL.
- Code blocks - Insert inline or block code formatting.
Tables
Insert a table directly into your note to organize data or structured information. Once inserted, you can add and remove rows and columns, reorder them using drag-and-drop, and resize columns.
Drag-and-drop
Hover over any element in a note to see the drag indicator on the left. Use it to move content anywhere in the note, including inside tables and lists.
Clicking the drag indicator also opens a quick actions menu where you can duplicate or delete the element.
In tables, drag icons appear on both rows and columns. Drag to reorder, or click to add, duplicate, or delete.
Images and attachments
Attach files by clicking the attachment icon in the toolbar. The file is placed wherever your cursor is in the note.
You can also drag files directly into the note — a caret indicator shows exactly where the file will land, including inside existing text.
Image controls — Click any image in a note to:
- Resize it by dragging the teal bar handles on its edges.
- Set its alignment (left, center, right, inline with text).
- Link it to a URL.
- Open it in the file viewer or delete it.
You can also drag existing attachments to new positions within the note.
Locking a note
To prevent accidental edits, lock a note by clicking the lock icon next to the note name. Locked notes are read-only until unlocked by a user with edit access.
Expanded view
Click the expand icon to the right of the note name to open the note in an expanded, focused view that takes over most of the screen. Useful for longer writing sessions or reviewing detailed content.
Personal notes view
Your personal notes now live in a dedicated view rather than a popup. Access it from Notes in the left sidebar. Here you can see all your personal notes, create new ones, and organize them.
Converting action items to tasks
Any line in a note that represents an action item can be converted into a BasicOps task. Highlight the text and select Convert to task from the options. The task will be created and linked back to the note so you don't lose context.
